A leave tracker for a company too big for a tab and too small for an HRIS

Fifteen to eighty people. One office manager. Leave Keeper is the tracker, the approval, and the who-is-off post, from $29 a month for 25 people.

Small-business leave tracking fails in a boring way. In year one a tab works. By year three you have two countries, three leave types that are really six, and a manager who approves from a taxi. The tab still lists last year's leavers. Nobody wants to buy a full HR suite yet, and nobody wants to be the person who built the tab.

Leave Keeper is sized for that gap. Free is 5 people. Team is 25, Business is 75, and Scale is 200, from $29 a month. With 400 staff and a CHRO, buy an HRIS.

What a small-business tracker has to get right

Opening balances. You will not start from zero. Team imports 25 CSV rows with name, email, policy, days remaining, and an as-of date. Business takes 75 and Scale takes 200. Rows that fail (unknown email, negative days) come back in an error CSV. We never skip them silently.

Half days. Dentists exist. Half days start on Team. Free is full days, enough to test the slash command.

One daily source of truth. The who-is-off post reads approved requests plus the holiday calendar. It does not read a side spreadsheet. If that post is wrong, the product is wrong.

A policy your lawyer can read. Confirm your email and we send the UAE and GCC leave policy template. Paste it, edit it, and have counsel read it before it goes into contracts. Then enter the same numbers in the matching policy: 30 annual days, sick 15, 30, 45, and so on.

Why per-user minimums exist, and why we skip one

A minimum covers a vendor's support and setup costs, which is fair. It also means a 12-person shop pays what a 25-person shop pays. See Leave Keeper vs Vacation Tracker for the numbers, read on 27 Oct 2026.

The rule of thumb is simple. With 8 to 18 people in the US or UK and no Hijri calendar to keep, a per-user tool such as Timetastic is often cheaper and is live today. With 20 to 75 people, Gulf policies, and Slack first, Leave Keeper is the cheaper product once it opens.

What it will not track

Overtime. Clock-in. Passport scans. Gratuity. A leave tracker that grows a document vault turns into a core HR system, and you should pay a core HR vendor for that.

There is no uncapped leave type. You can create a policy named Unlimited with a 365-day cap so the calendar still shows who is out. The cap is 365, not infinity. Someone has to come back.

30-day money-back guarantee once the product opens. No card needed to join.

FAQ

When does it launch?

No public date yet. Founding members get the invite first, by email, before anyone else.

Do contractors count toward the 25?

Yes, if they request leave in the bot. If they are not in your Slack workspace, they are not in the cap. There is no separate external seat.

Can I run two legal entities?

Business holds 4 country calendars and 20 policies. Two entities in one Slack share one workspace and one 75-person cap. Two Slacks means two workspaces and two bills. There is no holding-company view on day one.
